Responsibilities will include:

  • Deliver high-quality front desk support (take phone calls, screen incoming mail, manage and distribute deliveries and correspondence, welcoming guests for meetings).
  • Registration, distribution, tracking, sending, filing and archiving of internal/external documentation, drafting and sending official letters, etc.
  • Providing administrative support to lawyers and management by acting as the main contact person on their behalf, in relation to third parties, inside and outside the company (the job may require short distance travel and submissions of documents to relevant authorities).
  • Preparing necessary documentation for meetings / presentations / day-to-day activities of lawyers.
  • Preparing and formatting documents. This may include writing letters and memos (Word), compiling data for reports, creating computerized presentations (PowerPoint), writing reports, transcribing dictation, editing, proofreading, translating and other information preparation duties. Keep the minutes of various meetings, if necessary.
  • Document translation and editing, in accordance with management instructions and/or internal standards.
  • Keeping up with office supply inventory, keeping track of orders.
  • Making travel arrangements for lawyers (accommodation, travel documentation, booking tickets, event registration, etc.).
  • Maintaining a good relationship with suppliers and third-party partners; managing orders and contracts, in accordance with the internal applicable rules and management requirements.
  • Planning and monitoring corporate events, workshops, conferences.

Important to have:

  • Past experience in a similar role would be an advantage
  • Bachelor degree
  • Very good English language skills
  • Solid knowledge of Microsoft Office (mainly Word/ Excel/ PowerPoint)
  • Dynamic, proactive, problem-solving and creative
  • Discretion and ability to maintain confidentiality
  • High attention to details
  • Strong communication and organizational skills
  • Team player
  • Willingness to develop oneself professionally and personally
